Failure to Occupy Space

Booth space not occupied by the exhibitor by 4:00 pm on Saturday, March 17, 2007, will be forfeited without refund to the exhibitor, and the space may be resold or used by the IPTA.

Dismantling of Exhibits

It is imperative that no exhibitor begins dismantling, packing, or teardown of their space until 1:00 pm on March 21. This could result in denial of a future exhibit application for the exhibitor.

Registration And Booth Assignment

Assignment of Booth Space

Priority for space assignment will be based on a first-come, first-serve basis, the individual preference of space and the date in which the request is received. Tentative reservations will be accepted via faxed exhibitor application. All tentative reservations will be held for 10 working days only. Within this time period, the application and required deposit must be forwarded to the IPTA tradeshow department or tentative space will be released. Management reserves the right to make any revisions, if necessary, to the floor plan.

Applications for exhibit space must be made on the official application. Exhibitors wishing to avoid assignment of space adjacent to that of a particular competitor should indicate so on their applications. Careful consideration will be given to all such requests.

Exhibit Personnel and Additional Badges

All registered exhibit personnel will be issued an exhibitor's badge and must be employed by the Exhibitor or have a direct business affiliation. Each booth space includes two complimentary exhibitor badge.

Additional Exhibitor badges may be purchased for $50. Click here to download an Additional Exhibitor Badge form. All exhibitor badges include 1 copy of the onsite mini-program and the program book. Badges must be worn at all times when entering the exhibit hall. Representatives without a badge will not be admitted to the exhibit hall.

Booth Spaces and Fees

Standard booth is 10 feet by 8 feet. Each booth space includes two
complimentary registrations for the exhibit area.

Payment Policy

The exhibitor agrees to enclose with the exhibitor application a deposit of 50 percent of the rental fee, made payable to the IPTA, and mailed to IPTA Tradeshow Department, Attention: Meredith Weiner, 15000 Commerce Parkway, Suite C, Mt. Laurel, NJ 08054. The remaining 50 percent is due by Wednesday, January 10, 2007. Exhibitors who are not paid in full will not be permitted to set up their booth and the association has the right to resell the space. All checks must be made out in U.S. dollars drawn on a U.S. bank. Anyone paying for booth space via wire transfer must cover all costs, including their bank charge and the IPTA’s bank charge. Please call the exhibit manager for additional details on wire transfer costs.

Cancellation of Booth Space

Cancellations must be submitted to the IPTA Tradeshow Department in writing. The official cancellation date will be the date the exhibitor’s written notice of cancellation was received in the IPTA Tradeshow Department office.

Cancellation of Exposition

It is mutually agreed that in the event of cancellation of the International Pediatric Transplant Association (IPTA) due to fire, strikes, governmental regulations, war, acts of God, terrorism or causes which would prevent its scheduled opening or continuance, then and thereupon this agreement will be terminated and the IPTA Council shall determine an equitable basis for the refund of such portion of the exhibit fees as is possible, after due consideration of expenditures and commitments already made.

Shipping Information

All costs associated with the shipping and receiving of exhibit materials are the responsibility of the exhibitor. If you are planning to bring equipment, giveaways or any type of working material in bulk, we suggest that you utilize the services of a Mexican Customs Broker.

The recommended customs broker will hold your items and deliver them to the Grán Melia Cancún prior to set up.

Please note: Shipping via UPS or DHL - your merchandise will be detained in Mexico City. It is recommended you select other vendors when shipping to Cancun.
